Welcome to the Udio Community
As we release this newsletter, our clients in New Zealand have re-opened and some States in Australia have as well, albeit slowly. Singapore remains closed at this time.
Fingers crossed that it’s not too long until everyone is open and fully operational.
We also welcome a group of new customers to Udio and to our newsletters. Most have taken the opportunity to come over to Udio so when they do reopen they are operational.
Re-charging for your Swim School
A separate email has been sent to business owners about the process to re-charge fees. If you are an administrator and haven’t received the email please contact your boss.
We have made it very simple to re-open mid payment cycle and raise the appropriate fees without your managers (or yourself) having to do any manual work.
Restoring Cancelled Sessions
You may need to restore sessions because you have opened part way through the month or on the odd occasion added in a closure date that changed.
You can now Restore these sessions by finding the cancelled ones in Sessions and there is a ‘Restore’ button that you can click on. Remember you will have had to update the closure days otherwise the session will be removed even after restoring.
Reordering and downloading of the Billing Activity
We have reorganised all the billing account activity so now it is seen in date order, making it less confusing when trying to review an account. There are filters for dates, status and person as well as being able to download the transaction information to a spreadsheet.
Compulsory Payments
You can now add a page into the workflow of the Portal so the customers need to add their bank or credit card details before the booking is complete. The booking is confirmed with the DD details. There maybe cases where the payment rejects and follow up with the customer is required.
You can nominate which of your courses should have compulsory payments, for example you may want all courses or just your School Holiday Programme.
To set this up, go to Settings – Courses & Programmes – Configure courses – Edit – Online Bookings – Payment – Update to Payment method is required to complete booking.
Extending Make Ups
Due to the closures you may need to extend all current make ups.
To extend the make ups go to Settings – Packages & Purchasing – Configure voucher types - Extend - you can either add number of days to existing expiry date, or set all vouchers to a fixed expiry date – select from the inclusion dropbox – Click Confirm.
Self Checkin
We have updated Self Checkin so that the customer no longer needs to touch the screen to confirm. Once the customer scans their phone or card, their booking information will be displayed and automatically checked in.
This update has been done within the app so you do not need to do anything other than turn it on. Please ensure that your iPad for Self Checkin is checked for software updates to ensure you always have the latest version.
We also thought there maybe customers that want to check themselves in via the Customer Portal, this is now possible. The customer logs into the Portal and on the Dashboard page there will be a check in button. When tapped, if they owe fees it will say to go to Reception, otherwise it will display the level, lane and teacher’s name as it does on the screen of the iPad.
Remainder of June
For the remainder of June, we will be fixing a couple of little bugs and then upgrading the technology that Udio uses to the latest version available, allowing us to continue to have the most stable platform possible as well as being able to deliver new features faster.
